Munim Ji · मुनीम जी — the aadhti's books. Last updated 9 September 2026.
Munim Ji is bookkeeping software for commission agents (aadhtis) and traders in India, made by Akshay Kotish & Co ("we"). It runs as a website at munimji.jamidar.in, as a desktop program, and as an app for Android and iOS. This policy covers all three. It is written to be read, not to be got past.
What we keep, and why
- Your phone number, to sign you in. Sign-in is a one-time code sent by SMS through Google Firebase Authentication. We never see or store a password, because there is none.
- The name you give the firm, and the firm's details — address, GSTIN, PAN, bank account for printing on bills — because a bill has to carry them.
- What you write in the books: parties and their phone numbers and villages, commodities, every voucher, lot, bill and report. This is your business record. We store it so it is there the next morning, on every device you open the books from.
- Photographs you attach — a bardana slip, a weighbridge ticket — only when you choose to take or attach one. The camera and the photo library are asked for at that moment and used for nothing else.
- Which screens each teammate may open, when you add people to your firm by their phone number.
- Licence and payment status — whether the trial is running or a plan is paid for. Payments are taken by Razorpay; we receive the confirmation and the amount, never your card or UPI details.
- Technical logs — the time and outcome of requests to our servers, kept briefly to keep the service running and to find faults. No advertising identifiers, no tracking across other apps or sites.
What we do not do
- We do not sell, rent or trade your data, and we show no advertising.
- We do not read your books except to fix a fault you have reported, and then only the record you point us at.
- We do not share your parties' phone numbers with anyone. When you send a statement on WhatsApp, it is your phone that opens WhatsApp with the message; nothing goes through us.
Where it is stored
The books live in Google Cloud Firestore through Firebase; our own server runs on Google Cloud in Mumbai (asia-south1); and every connection to them is encrypted (HTTPS). The desktop program keeps a copy in an encrypted database on your own computer and syncs it to the cloud when you are signed in. The phone app keeps a short queue of entries written without signal and sends them when the line returns; it holds nothing else on the device beyond what it needs to draw the screen.
Who else touches it
- Google Firebase — sign-in by SMS code and the database. Firebase privacy.
- Google Cloud Run — where our server runs.
- Razorpay — payment for a plan, if you buy one. Razorpay privacy.
- WhatsApp, your mail app, your printer — only when you press share or print, and only with what you chose to send.
Your teammates
If a firm has added your phone number as a teammate, the books you see belong to that firm, and the firm's owner decides what you may open. Your own sign-in details are yours and are covered by this policy in the same way.
Deleting your account and your data
In the app: open the account (top right) and press Delete my account · खाता हमेशा के लिए मिटाएँ. You will be asked to confirm twice.
By writing to us: connect@akshaykotish.com from the phone number's owner, with the number.
What happens, in order:
- Your sign-in is deleted at once. The number can no longer get in, and every signed-in device is signed out.
- Your name, phone number and email are removed from our records. An anonymised record of the account remains only where an audit line or a voucher refers to it, so the books of other firms you worked in still balance.
- Your access to any firm you were a teammate in is removed at once.
- The books of firms you own are archived — closed to everyone, including you — rather than destroyed on the spot, because a firm's books are its legal record and may have partners. Write to us and they are permanently deleted within 30 days.
- Server logs that mention your account expire on their own within 30 days.
Children
Munim Ji is for businesses and is not directed at children under 18. We do not knowingly keep information about a child.
Changes
If this policy changes in a way that matters, the date at the top changes. The current version is always at munimji.jamidar.in/privacy.
